SCOPE:
The Senior Administrative Business Partner will be the operational backbone of our new Data Center Design & Engineering organization. The role provides multi-faceted support and assistance to ensure effective use of an executive’s time and productive interactions with staff and the public. Handles a wide range of support tasks and independently initiates and implements processes to manage projects, information, and people. This role will help build the culture, processes, and operational cadence for a team delivering advanced data center infrastructure products to the world’s leading hyperscale and colocation clients.
The ideal candidate will have a minimum of five (5) years of administrative or executive assistant experience, including support for VP-level leadership in a technical or manufacturing environment.
JOB RESPONSIBILITIES
- Manage complex calendars, meeting preparations, prioritizing meetings aligned with business goals.
- Conduct research and information gathering on behalf of the executive and prepare summaries and reports.
- Develops positive and strategic relationships at all levels of the organization.
- Uses discretion, judgment, and knowledge of the organization to facilitate the executive’s activities and maintain confidentiality.
- May be responsible for directing staff or other resources.
- Coordinate domestic and international travel and expense reports.
- Organize and support key staff meetings, all-hands, vendor meetings, and customer presentations.
- Track and report on budgets, headcount plans, and procurement approvals.
- Support onboarding of new employees, including space planning and IT coordination.
- Act as the communications hub for the team, ensuring alignment and follow-up on key actions.
- Draft and edit correspondence, presentations, and internal documents.
- Build strong relationships across MHI Americas and global MHI teams.
- Help implement processes for a high growth, globally connected team.

QUALIFICATIONS & SKILLS
- Education Requirement: Associates degree required or equivalent combination of education and experience.
- Experience: Minimum of five (5) years of administrative or executive assistant experience, including support for VP-level leadership in a technical or manufacturing environment.
- Strong organizational skills, detail orientation, and sense of ownership.
- Proven ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills.
- Proficiency with MS Office, Google Workspace, or similar productivity tools.
- Ability to work in a fast-paced environment with changing priorities.
PREFERRED QUALIFICATIONS:

- Prior experience in data center, construction, industrial equipment, or manufacturing sectors.
- Experience in rapidly scaling organizations.
- Familiarity with Japanese business culture is a plus.
WORKING CONDITIONS:
- Travel %: 20%
- Standard Monday through Friday work week. Occasional evening or weekend work may be required.
- Lifting/physical requirements: Regularly required to sit for long periods, stand, walk, talk and/or hear Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds
