TYPIST CLERK III

DEFINITION

Performs complex clerical work relating to a specific function or program requiring specialized knowledge and involving frequent and responsible contacts. Clerical duties require the ability to perform skilled typing/keyboarding using a typewriter or computer.

DISTINGUISHING CHARACTERISTICS

A Typist Clerk III assumes functional responsibility for a complex clerical activity or program. The work of this class requires the exercise of independent judgment in the interpretation and application of rules, procedures, policies, and precedents and may involve the indirect supervision of lower-level clerical staff.

A Typist Clerk II performs journey level general clerical duties within a framework of established procedures. The work of this class requires a knowledge of clerical systems and procedures, and the ability to choose among alternatives in solving problems.

SUPERVISION RECEIVED AND EXERCISED

General supervision is provided by higher-level clerical or administrative personnel.

Assignments may require the indirect supervision of other clerical positions.

EXAMPLES OF DUTIES

Plans, schedules, and performs complex clerical, work relating to the specialized function or program to which assigned.

Conducts transactions with school personnel or the public in matters requiring a detailed knowledge, interpretation, and application of rules, procedures, policies, and precedents.

Prepares documents based on data obtained from records and other sources and processes them in accordance with prescribed procedures.

Compiles information for reports and transactions and assists in the consolidation and presentation of data.

Maintains a system of files and records; establishes and maintains systems to insure accountability and controls; enters or extracts information on or from records using a computer terminal.

Coordinates work with Educational, Technology and Information Services in applying procedures and controls.

Composes correspondence and prepares reports independently or from oral instructions.

Types correspondence from rough drafts, marginal notes, verbal instructions, or recorded dictation.

Initiates general clerical procedures and develops recommendations regarding such areas as forms and reports, schedules, filing systems, and flow of information.

May handle confidential information.

Performs related duties as assigned.

CLASS QUALIFICATIONS

Knowledge of:

Proper English usage, spelling, grammar, and punctuation.

Record-keeping techniques, filing systems, and information management.

Computer applications, data management, storage, and retrieval systems.

Laws, rules, and regulations appropriate to the assignment.

Ability to:

Plan, lay out, and conduct clerical operations involving transactions requiring effective accountability and accurate controls.

Perform a variety of responsible and technical work in support of an assigned function or program.

Learn, interpret, and communicate effectively rules, regulations, policies, and procedures.

Perform complex clerical work involving independent judgment, accuracy, and speed.

Spell correctly and use appropriate English, and make arithmetical computations.

Operate various pieces of office equipment such as computers using a variety of hardware and software.

Input data using a computer.

Understand and carry out oral and written directions.

Provide technical, functional supervision to other clerical employees.

Maintain confidentiality.

Type/Keyboard input at a speed of not less than 40 net words per minute on a typewriter, or computer.

EMPLOYMENT STANDARDS

Two years of recent, increasingly responsible clerical work which has involved skilled typing/keyboarding.

Desirable:

Written and oral proficiency in a second language.

LICENSE OR CERTIFICATE

Depending upon assignment, possession of a valid State of California Class “C” driver’s license. Ability to be insured at standard vehicle liability and property damage insurance rates and maintain insurability.
