Administrative Assistant IV

Position Location: Chaska MN

No relocation offered with this position

Summary: This role will work closely with US and Japan executives (expatriates) and support teams, working as a liaison to manage scheduling, expenses and provide general administrative support. Must have excellent verbal and written skills in Japanese and English and be able to effectively communicate across various corporate groups.

Responsibilities
• Provides fully skilled, general administrative, analytical, and secretarial support, to executive level. (VPs, Directors)
• Exercises judgment to complete assigned tasks.
• Provides strategic calendar and time management support based on knowledge of business context. Schedules meetings, videoconferences, travel itineraries, and work with peers to solve a scheduling conflict etc., for assigned personnel.
• Prepares expense reports and reconciles appropriate charges.
• Delegates responsibilities to other administrative staff and/or temporary workers as authorized.
• Coordinates activities between department or business unit and other organizational entities that may include other departments, business units, factories, or similar operations.

Sensitivity to timeline and priority of tasks
• Emotional intelligence and capability to communicate with diversified internal/external contacts for executive level matters
• Fluent in English required
Strong Japanese verbal and written communication capability is required

Typical Education and Experience
Bachelor’s Degree with a minimum of 2 years of related experience; or Associate’s Degree with a minimum of 4 years of related experience; or 6 years of related experience in lieu of degree; high school diploma or equivalent required.

Physical Demands and Work Conditions
The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand as necessary. This position requires the ability to occasionally lift office products and supplies, up to 35 pounds. This position also requires 4 to 6 hours per day at a computer screen/keyboard.
