Description

SUMMARY

Provides general administrative support and coordination primarily to the Logistics & Automation Division Members in Kansas City. Occasionally assigned to support other regions or divisions as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

– Serve as Japanese-English Interpreter to assist Japanese Associates with housing, banking, transportation, etc.

– Responsible for office equipment upkeep, ordering and maintaining office supplies.

– Responsible to provide travel arrangements for L&A staff and Murata Machinery Ltd. (MML) business visitors including engineers/technicians working at customer sites.

– Responsible to negotiate special discounts and maintain agreements with local hotels.

– Support evaluation of spare parts lists for accuracy and redundancy.

– Act as liaison for Kansas City Office for incoming phone calls, visitors, vendors, etc.

– Responsible for driving MML visitors between airport, office, hotel, etc.

– Responsible for reserving meeting spaces, convention spaces and vendor services for events.

– Assist with job-site setup including arrangements for trailers, utilities, office space, etc.

– Responsible for preparing and retrieving mail for KS Location on a daily basis.

– Support resolution of customs clearance delays for incoming shipments from Japan relating to L&A projects.

– Maintain vendor accounts for office services such as alarm, cleaning, pest control, etc.

– Serve as general administrative liaison between US and Japan for communication and coordination.

– File, organize and update general administration data such as contracts, NDA’s, phone listings, contacts, etc.

– Maintains spreadsheets and KPI tracking for service and training departments.

EDUCATION and/or EXPERIENCE

High School Diploma or GED required, minimum of two years of experience in administrative and/or office support is required.

QUALIFICATIONS

LANGUAGE SKILLS

Bilingual skills English/Japanese are required. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and document administrative procedures. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to translate business, technical, and safety documents between English and Japanese print clearly and correctly.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES

Knowledge and experience with personal computers, business phone systems, and copier/fax machines. Proficient in Microsoft Office Word, Excel, PowerPoint, Outlook. Excellent communication skills required.

TRAVEL

Must be willing and able to travel up to 10% mainly domestic. Excellent driving skills and clean driving record is required.
