As a Purchasing Coordinator, you will be responsible for managing the procurement process of goods required by the company. This role involves working with Kyocera’s factories located outside the U.S. and domestic 3rd party suppliers, to ensure timely delivery of materials, and assisting the dedicated Purchasing Specialist. The Purchasing Coordinator will work closely with various departments to understand their needs and provide support to ensure the smooth operation of the supply chain.

Responsibilities

Sourcing and Procurement

+ Plan purchases from Kyocera’s factories located outside the U.S. and domestic 3rd party suppliers (herein after collectively referred to as “supplier”), and place purchase orders.

+ Manage each order from issue of purchase order to merchandise received.

+ Verify invoices from suppliers and process in ERP system (Oracle).

Inventory management

+ Monitor stock levels and replenish inventory by placing appropriate amount of orders at the right time.

+ Track and manage inventory to minimize costs and prevent backorder or overstock situations.

+ Prevent backorders by communicating with related departments and suppliers.

+ Maintain shipping schedule from suppliers.

Vendor management

+ Assist with maintaining relationships with suppliers.

+ Work with suppliers to ensure receipt of a reasonably acceptable ETA.

+ Identify opportunities for lead time reduction.

+ Ensure on-time delivery, by establishing a robust process to track and monitor delivery deadlines, and collaborate closely with suppliers to align on delivery schedules and mitigate delivery delays.

+ Resolve any issues or discrepancies related to orders, deliveries, or payments.

+ Develop contingency plans to address unforeseen supply chain disruptions.

Assistance to Purchasing Specialist

+ Provide administrative and logistical support to the Purchasing Specialist.

+ Assist in the coordination of procurement activities and projects.

+ Help prepare reports, presentations, and documentation.

Documentation and Reporting

+ Ensure accurate and timely submission of standard reports.

Collaboration and Support

+ Communicate daily with various departments in order to dispatch, copy and report information in a timely manner.

+ Work with other departments to understand their purchasing needs and provide support.

+ Assist in the development/revision and implementation of purchasing procedures and documenting them.

Qualifications

Required:

+ Minimum of 5 years’ experience in purchasing, procurement, or related role within a corporate environment.

+ Minimum of 5 years’ experience with purchasing and inventory systems and procedures.

+ Strong communication skills

+ Excellent task and time management skills.

+ Ability to analyze and interpret data to make informed decisions.

+ Detail-oriented with strong problem-solving skills.

+ Advanced experience with Microsoft Excel and Word.

Preferred:

+ Experience within the office product industry.

+ Experience with Oracle.

+ Associates or bachelor’s degree.

+ Bilingual (English & Japanese).
