Job Description
We are looking to grow our Capital Projects team based at our Home Office of MBK Senior Living in Irvine, CA!

Pay: $26.00 – $31.00/ Hour, Potential for Discretionary Bonus
Hybrid Office Schedule, three days in office, two remote.

Job Summary: The Project Coordinator assist the Job Cost Accountant and Cap Ex Project Managers on work related to capital upgrades and renovations of senior living communities and to support the cap ex asset management team with various accounting and administrative functions, as necessary.

Essential Job Duties:

  • Prepare 3-year and 5-year Cap Ex Budgets for each community and update them during the year as needed.
  • Each month, issue job cost reports to each community that track capital budgets and committed/uncommitted costs
  • Maintain and update project logs for capital projects submitted to the home office from each community.
  • Establish new vendors in accordance with vendor set up requirements and maintain preferred vendor list for capital projects and pre-qualify new vendors, if needed.
  • Enter cap ex paperwork, contracts/change orders into the Yardi Job Cost module.
  • Process invoices using Payscan to ensure vendor payments are in line with committed, contracted costs and cap ex paperwork.
  • Assist accounting team process invoices and track funding of each invoice payment in job cost reports.
  • Maintain documents on the Intranet regarding cap ex and environmental services
  • Ensure purchases are made in accordance with company Cap Ex Policy.
  • Secure all new and renewal insurance certificates from pre-approved vendors.
  • Secure documents and information required to process invoices from cap ex team, communities, accounting, sales, and marketing and ensure all invoices are correctly cost coded each month.
  • Log and track preliminary lien notices, final lien waivers for project close-out.
  • Serve as a resource and liaison with the Business Office Manager at each community.
  • Assist with time sensitive special payments
  • Other related activities as maybe required and deemed necessary by Job Cost Accountant and Supervisor.

Knowledge and Skills:

  • Associates Degree in accounting, or related field, or equivalent work experience
  • Experience with job cost accounting (or similar job cost tracking software) related to real estate development and/or construction would be highly desired.
  • Must be computer literate in all Microsoft Office products and extremely proficient in the use of Microsoft Excel
  • Experience in working both independently and in a team-oriented collaborative environment.
  • Approaches all encounters with residents, associates, and vendors in a friendly, service-oriented, and professional manner.
  • Can collaborate with colleagues and thrive in a team environment.
  • Must be punctual and dependable.
  • Passion for a job well done.

Physical Demands:

  • Must be mobile and able to perform the physical requirements of the job, bending, kneeling, stooping, pushing, pulling and repetitive motion.
  • Ability to sit and work at a computer for extended periods of time.
  • Able to move intermittently throughout the workday and between divisions.
  • Ability to lift/carry up to 30 lbs. and push up to 20lbs. as necessary.
