Essential Job Functions: Sales Support/Receptionist

Sales Support 50%
• Inputs, updates, and maintains sales orders, invoices, and bill-back data within the Company
• database
• Updates and maintains customer records in the Company database
• Enters credit card and ACH transaction information in the portal site in a timely manner to
• ensure payment collection
• Maintains high levels of customer satisfaction by providing excellent service and building
• rapport
• Answers customer questions about product features, product benefits, and procedures
• Updates and prepares all sales materials for the department
• Reports any inventory or service issues to appropriate account manager immediately
• Collaborates with the sales staff to monitor active purchase orders and ensure that orders are
• completed on time
• Scribes department meetings and distributes meeting minutes to the team
• Creates sales and marketing materials
• Attends Company events and functions outside of normal working hours
• Performs other duties as assigned
• Obligation to answer to all management as requested

Front Desk Receptionist – 50%
• Greet and direct visitors at the front desk
• Answer, screen, and forward incoming calls and eFax
• Provide callers with information such as company address, directions to the company location, company website and other related information
• Operates office machines such as copiers, scanners, PCs, phones, and voice mail system to perform clerical duties
• Maintain visitor log
• Receive packages and sort accordingly
• Attend to will call customers by answering questions, collecting payment via cash, credit, or check, and generating receipts
• Communicate with warehouse about will call orders

• Other duties as required from Office operation manager
• Scanning work

Physical Requirements
• Able to sit for extended periods of time
• Ability to type and use the computer for extended periods of time.
• Ability to reach, bend, kneel, and lift up to 20 pounds
• Working Conditions

o Noise Level: Normal

o Indoors

Other Requirements
• Basic level English – read/write/speak/listen
• Basic level Japanese preferred – read/write/speak/listen
• Ability to work independently
• Ability to adapt to frequent changes in assignments and workload
• High school diploma required. Associate’s Degree or above preferred
• 1 year of experience in an administrative or clerical position required

Knowledge and Skills
• Basic mathematical knowledge – markups, discounts, currency, etc.
• Ability to solve problems
• Basic Microsoft Office proficiency
• Communication and interpersonal skills
• Exceptional organization and time management skills
• Customer service skills
