Essential Job Functions
• Inputs, updates, and maintains sales orders, invoices, and bill-back data within the Company database.
• Handle inbound and outbound calls, addressing customer inquiries, product features, product benefits, order procedures, and concerns promptly and professionally.
• Reports any inventory or service issues to appropriate account manager immediately.
• Submits payment requests for manual transactions and sets up auto pay in the portal site.
• Acts as the inside sales assistant lead to facilitate communications with sales team and increase efficiency of office support.
• Maintains high levels of customer satisfaction by providing excellent service and building rapport.
• Conduct fish weight calculations accurately and efficiently.
• Take orders through email, ensuring accuracy and timely processing.
• Coordinate export processes efficiently, adhering to all relevant regulations and documentation requirements.
• Organize driver routes for timely and optimized deliveries.
• Address driver questions and concerns, providing necessary support and guidance.
• Assist with accounts payable tasks and invoice processing as needed.
• Conduct Collections activities to ensure timely payment from customers.
• Manage account receivable tasks, including processing credit and debit memos.
• Updates and maintains customer records both in the physical folders and in the Company database.
• Backup responsibilities include bank deposit preparation, ensuring accuracy and completeness.
• Attends Company events and functions outside of normal working hours.
• Performs other related duties as assigned.
• Obligation to answer to all management as requested.
Physical Requirements
• Ability to sit in an office for a majority of the day.
• Ability to type and use the computer for extended periods throughout the day.
• Ability to reach, bend, kneel, and lift up to 25 pounds occasionally.

Other Requirements
• Business level English – Read/write/speak/listen.
• Maintains positive attitudes and relationships with all stakeholders such as Outside Sales Associates, Sales Assistants, Will-Call Attendants, and customers
• Basic Microsoft Office proficiency (Word, Outlook, Excel, PPT…)
• Ability to work independently and as a team.
• Ability to adapt to frequent changes in assignments and workload.
• High School Diploma or equivalent required.
• Experience in customer service and support required
Knowledge and Skills
• Excellent verbal and written communication skills.
• Interpersonal and customer service skills.
• Organizational skills and attention to detail.
• Basic mathematical knowledge – markups, discounts, combining/converting measurements, counting inventory, etc.
• Problem-solving skills.
• Proficient with Microsoft Office Suite or related software.
• Knowledge of Japanese foods and sakes preferred
