ADMINISTRATIVE CLERK II

MONTHLY SALARY – $3,373.79 – $4,521.20

4/10 WORK SCHEDULE (MON-THUR, 7:30AM – 6:00PM)

MUST BE AVAILABLE TO ATTEND (ON AN AS NEEDED BASIS) PLANNING COMMISSION MEETINGS: 2ND & 4TH WEDNESDAY OF EACH MONTH, 7:00PM TO CONCLUSION OF MEETING.

THE COMMUNITY DEVELOPMENT DEPARTMENT IS LOOKING FOR A SELF-MOTIVATED, RESPONSIBLE, AND SERVICE ORIENTED INDIVIDUAL TO FILL ONE FULL-TIME POSITION AND TO ESTABLISH AN ELIGIBILITY LIST TO BE USED FOR FUTURE VACANCIES.

THE POSITION
This is a journey level class in the Administrative Clerk series. Positions in this class are normally filled by advancement from the I level, or, when filled from the outside, require prior clerical experience comparable to the I level. Appointment to the II level requires that the employee be performing the full range of duties for the class and meet the qualification standards for the class. An Administrative Clerk II qualification standards for the class. An Administrative Clerk II is expected to perform assigned duties with only occasional instruction or assistance, and work is normally reviewed only on completion. Adequate performance at this level requires the knowledge of City procedures on purchasing, personnel and payroll as well as knowledge of department policies and procedures.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from management, professional, or higher level clerical positions; and functional and technical supervision may also be received from department staff.

ESSENTIAL FUNCTIONS

  • Types a variety of documents including reports, letters, forms, financial reports and other materials from oral direction, rough drafts, forms, copy notes, transcribing machine recordings or other sources.
  • Performs a wide variety of clerical work including typing, proofreading, filing, coding, check and recording information on records.
  • Sorts and files materials by established categories; looks up information and materials in files; records information, and notes final disposition.
  • Operates a computer data terminal to send and receive a wide variety of information.
  • Answers telephones; relays messages received and refers complaints; and gives answers to routine questions.
  • Assists public at the counter, giving and receiving information and directing to proper department.
  • Explains to the public how to complete various forms, applications and licenses, and assists in completing these documents when necessary.
  • Compile information and data for statistical and financial reports; maintains a variety of statistical records; checks and tabulates statistical data, and prepares statistical reports.
  • Performs record keeping for various funds and expenditures.
  • Maintains and processes personnel and payroll records.
  • Supports the relationship between the City of Baldwin Park and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.

Knowledge of:

  • Organization, procedures and operating details of City department to which assigned.
  • Modern office methods, practices and procedures including composition and format of business correspondence.
  • Modern office equipment operations, including computer terminals and word processing equipment.
  • Office supervisory practices and public relations.

Ability to:

  • Understand and carry out oral and written directions.

MINIMUM QUALIFICATIONS

Experience and Training

Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be:

Experience

Two years of experience comparable to that of an Administrative Clerk I with the City of Baldwin Park. ()

Training

Equivalent to completion of the twelfth grade, including or supplemented by specialized clerical courses.
