    Summary

    The Inside Sales Coordinator position serves in a central role of the daily operations within the Sales organization. The multi-functional role has four key core responsibilities: 1) manage non-production customer orders; 2) manage access to customer portals; 3) support purchase order entry into the ERP system; and 4) assist the account management team’s data acquisition and processing needs. Each responsibility requires strict adherence to standard processes with the ability to adapt to changing situations, working both independently and as a member of a team, and engage in effective personal communication skills within and outside the organization.

    Essential Job Responsibilities and Duties

    – Manage one-time/trial customer orders to include processing, dissemination, and quoting while monitoring order status and supporting delivery fulfillment with communication and coordination with both internal and external contacts.

    – Daily access to customer portals to download and process customer documents.

    – Support the processing of customer Purchase Orders to ensure timely and accurate invoicing.

    – Administer customer portal accounts, including setup, updates, and troubleshooting and provide support to portal users to ensure effective use and compliance.

    – Engage in projects and tasks in support of the Sales team effort to acquire and maintain customer business which would include the acquisition, processing and maintenance of data with a focus on completeness and accuracy.

    – Identify and propose improvements to processes.

    Other Responsibilities and Duties

    – Assist in preparing materials for meetings.

    – Collect information from others internally, plant and customer.

    – Other special projects, tasks or duties as assigned by supervisor and/or management.

    – Support customer visits and other business meetings as needed.

    – Develop and improve operations standards as needed.

    – Most work is performed in a typical office setting; the work is mostly sedentary.

    – Required to work additional hours to meet deadlines, as necessary.

    – Minimal travel is expected to meeting sites, customer and supplier locations, and affiliate company facilities and manufacturing plants, both domestic and international.

    Basic equipment provided includes a laptop computer, business cards and security badge. Cell Phone optional: BYOD (Bring Your Own Device) allows the use of personal smartphone or iPad tablet to be connected to company apps.

    Qualifications

    Education and Experience:

    Desired Qualifications:

    Bachelor’s Degree or equivalent combination of education and experience.

    Minimum Qualifications:

    – 3-5 years of experience in a business support position, specifically working for an automotive supplier. Japanese OEM experience preferred.

    – Proficient in Microsoft Office (Excel, PowerPoint, Word Outlook).

    Special Skills:

    – Understanding of various OEM web-based supplier interfaces and portals.

    – A general understanding or experience with automotive parts production.

    – Experience or understanding with export shipping processes and requirements.

    – Strong verbal and written communication skills.

    – Ability to collaborate effectively across teams and departments and build strong working relationships.

    – Customer-focused mindset with a proactive approach to problem-solving.

    – Adaptable and able to thrive in a fast-paced environment.

    – Self-motivated and able to work independently while maintaining alignment with team objectives.

    – Show initiative, attention to detail, and follow-up skills.

    – Strong data analysis capability.

    – Creative and forward thinking, with an ability to focus on the big picture.
