Description

SUMMARY

Provides general administrative support and coordination primarily to Clean Factory Automation (CFA) Division Members as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

– Serve as Japanese-English Interpreter to assist Japanese Associates with housing, banking, transportation, etc.

– Maintain office and equipment upkeep, ordering and maintaining office supplies.

– Make travel arrangements for CFA staff and Murata Machinery Ltd. (MML) business visitors including engineers/technicians working at customer sites.

– Negotiate special discounts and maintain agreements with local hotels.

– Act as liaison for Arizona Office for incoming phone calls, visitors, vendors, etc.

– Provide support for driving MML visitors between airport, office, hotel, etc.

– Set up and reserve meeting spaces, convention spaces and vendor services for events.

– Prepare and retrieve parcel shipping/receiving for AZ Office daily.

– Support coordination of delivery and pick up of installation materials stored in the Chandler warehouse

– Support resolution of customs clearance delays for incoming shipments from Japan relating to CFA projects.

– Serve as general administrative liaison between US and Japan for communication and coordination.

– File, organize and update data such as needed for office/project support.

– Create/update reports and enter data into various MML/MMUSA programs and files.

– Serve as a back-up for other area Administrative Assistants

– Support employee onboarding processes, including but not limited to badge training, HR, IT and safety training coordination.

– Create portal site ID and password set up, documentation, and requests to MML.

– Support portal site administration such as locked passwords and VPN issues.

– Support site badge processing for CFA team members.

– Assist with the set-up, coordination, and rental furniture for installation member’s apartment(s).

Qualifications

EDUCATION and/or EXPERIENCE

High School Diploma or GED required, minimum of two years of experience in administrative and/or office support is required.

QUALIFICATIONS

LANGUAGE SKILLS

Bilingual skills English/Japanese are required. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and document administrative procedures. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to translate business, technical, and safety documents between English and Japanese print clearly and correctly.

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES

Knowledge and experience with personal computers, business phone systems, and copier/fax machines. Proficient in Microsoft Office Word, Excel, PowerPoint, Outlook. Excellent communication skills required.

TRAVEL

Must be willing and able to travel up to 10% mainly domestic. Excellent driving skills and clean driving record are required.
