Job Description
Temporary Administrative Assistant to CEO Office (6-month Contract)

Duration: ~6 months (October – April)

Bill Rate: TBD

We are seeking a proactive Administrative Assistant to support our CEO’s office on a temporary basis. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  1. Calendar Management: Efficiently schedule appointments, meetings, and events, resolve conflicts, and ensure all parties are informed.
  2. Invoice Processing: Manage and verify invoices, preparing them for payment while maintaining accurate records.
  3. Office Relocation Support: Provide administrative assistance during the office relocation process, including coordinating logistics, assisting with setting up new facilities, preparing gifts for clients, and scheduling key meetings for the opening.
  4. Presentation Preparation: Assist in preparing presentations, create PowerPoint slides, organize materials, and set up technology for successful delivery.
  5. Vendor Ordering: Oversee office supply orders, ensuring timely procurement and preventing shortages or overstock.
  6. General Administrative Support: Handle additional administrative tasks, including filing, photocopying, and managing correspondence.

Requirements

  • Experience: 3-5 years in an administrative support role is required; experience supporting C-Level executives is preferred.
  • Technical Skills: Proficiency in Concur (travel and expense management) and Microsoft Office (Word, Excel, Outlook).
  • Communication: Strong verbal and written communication skills.
  • Organizational Skills: Exceptional attention to detail with the ability to multitask and meet deadlines.
  • Independence: Self-motivated, capable of working independently and as part of a team.
  • Languages: Proficiency in Japanese is a plus.
