Overview
Pharmaceutical Research and Manufacturers of America (PhRMA) is seeking an Executive Assistant Representative (Manager) for the International Advocacy team to support its international efforts.
This position is located in PhRMA’s Tokyo, Japan office.
The Assistant Representative (Manager) will:
- Assist with project management, communication, and coordination of advocacy strategies.
More specifically:
Management:
- Supervise Administrative and Accounting staff member and temporary staff.
- Coordinate allocation of temporary staff to permanent staff.
- Make office management decisions based on using budget resources most effectively.
JBEC Committees:
- Support JBEC and all committees.
- Manage JBEC bimonthly meetings and strategy session.
- Manage and oversee “PhRMA Days” activities.
- Coordinate JBEC schedule.
- Coordinate JBEC-JSC activities.
PhRMA Japan Representative:
- Act as personal assistant to Japan Representative.
- Take maximum personal initiative in decisions regarding Japan Representative’s schedule and program.
- Follow-up closely on all requests.
- The successful candidate will be expected to develop detailed knowledge on areas assigned to him/her and will be assigned miscellaneous tasks related to PhRMA Japan’s day-to-day work, responding to requests received from PhRMA DC, member companies and others, etc.
- Perform other duties as assigned.

The preferred candidate will have a background in drug development, regulatory affairs, and advocacy expertise, along with a strategic mindset, and be an organized, detail-oriented self-starter with excellent communication skills and the ability to convey complex content in an audience-appropriate and compelling manner.
Demonstrated consensus building among internal and external stakeholders, decision-making, and interpersonal skills are essential. This is a highly visible, fast-paced position that is both internally and externally facing. Accordingly, the successful candidate should be adaptable, able to reprioritize and shift gears quickly, comfortable in a high-pressure environment, and be politically savvy, diplomatic, and responsive.
Professional Experience / Requirements
- 2+ years of experience minimum (5+ years preferred).
- Adaptable/flexible and comfortable working in a high-paced international environment.
- Excellent verbal and written communication skills.
- Good at garnering consensus.
- Proactive, well-organized, creative thinker, and team player.
- Knowledge of the pharmaceutical industry or health care experience and government relations is desirable.
- Fluency in Japanese and English is essential.

- Salary is commensurate with experience and other compensable factors.
