Position Summary

The Document Control Associate Staff Member is responsible for the facilitation, coordination, tracking, and execution of the TQM Document Control function. Using independent judgement, works directly and indirectly across all departments to ensure the integrity of the ANC document control process. Works closely with General Manager, TQM when documents do not comply with ANC standards and recommends countermeasures for resolution.

Position Responsibilities

The incumbent is expected to perform the following functions that the company has determined are essential to this position:

  • Creates and maintains SharePoint libraries to meet IATF requirements.
  • Facilitates the ongoing development and implementation of the ANC Documentation Control function.
  • Oversees the entire documentation control process and makes determination that all documents are in conformity with ANC TQM Policy.
  • Initiates and monitors approvals as appropriate to maintain ANC standards identifies problems and issues along with countermeasures when problems present themselves.
  • Technical Administrator of SharePoint log to ensure that document flow (including engineering docs) is in line with ANC standards.
  • Manages and executes Document Control Policy and builds credibility across departments to enhanced engagement with the TQM culture.
  • Logs, controls, corrects, and manages Engineering Documents for approval appropriate. Ensures effective flow of end-to-end process including engineering blueprints.
  • Responsible for record control process and determines appropriate labeling criteria.
  • Assist with ongoing development of Doc Control process and makes recommendations for implementing sustainable solutions.
  • Trains other Team Members and managers as requested regarding the document control process.
  • Performs other duties as assigned that support the overall objectives of the organization and the position.
  • Daily involvement in the achievement of company Document Control targets, goals and objectives.
  • Responsible for the integrity of Document Control Process and Procedures
  • Works across departments to Champion Document Control culture.

  • Serve as resource in teaching and coaching team members in use of continuous improvement processes and tools.
  • Demonstration of exceptional influencing skills and proficiency in presentation and training skills.

Required Skills and Abilities

Essential Skills and Experience:

  • Demonstrated experience with leading projects and facilitation of cross-functional teams.
  • Exhibit strong math and analytical skills.
  • Prior knowledge of TPS, lean, and continuous improvement processes, methods and tools preferred.
  • Experience preferred in leading and facilitating improvement projects in both transactional and non-transactional environments with emphasis in problem solving.
  • Highly motivated self-starter that is adept at taking initiative. Hands-on mentality, organized, high energy, data driven, and results oriented.
  • Adept at building trusting relationships while influencing others to adopt new best practices through fact-based analyses/discussion. Excellent interpersonal, communication, listening, conflict management skills and ability to build trust and credibility.
  • Excellent verbal and written communication skills, must be fluent with speaking/reading/writing/understanding English language.
  • Demonstrated ability to prepare and effectively convey business and technical information in spreadsheet, reports and presentations.
  • Must have strong working knowledge of Microsoft Word, Excel, and PowerPoint.

Beneficial Skills and Experience

  • Japanese language skills beneficial.
  • Experience with Microsoft Project and Visio beneficial.

Education/Training/Certifications

  • Associates degree in business or technical field with 5 years of experience or high school diploma and 7 years of experience in fast-paced manufacturing environment. Automotive experience preferred.
