JOB TITLE: Office Management Administrator DEPARTMENT: HR/Office Management
REPORTS TO: Supervisor, HR & Office Mgmt. SUPERVISES: N/A
POSITION TYPE: Non-Exempt
GENERAL POSITION SUMMARY:
The Office Management Administrator is responsible for ensuring the efficient operation of the office by managing daily administrative tasks, supporting staff and leadership, coordinating office activities, and maintaining organized systems and processes. This role requires strong communication and organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will contribute to a positive and professional workplace experience for both internal teams and external visitors.
MAJOR ACCOUNTABILITIES:
- Assist the Director and Supervisor of HR & Office Management.
- Collect and input information from multiple sources as required by HQ Japan.
- Serve as the primary interface for requests from JAE Japan.
- Assist with planning and coordinating company events.
- Manage ordering and maintaining office supplies.
- Assist with travel and event planning as needed.
- Support and assist visitors from JAE Japan and other locations.
- Assist with office building management, including communication with Irvine Co. and external vendors regarding repairs and maintenance.
- Serve as the Risk & Safety Coordinator support, managing the company’s safety program across offices.

Primary: Managing daily administrative tasks 30

Assist with HR/OM side per request by Director and Supervisor 20
General assistance to President, Expats, with HQ 20
Special projects – i.e. company events 10
Risk & Safety – program management 10
Other assistance duties as necessary 10
CORE COMPETENCIES
- Administrative and organizational skills
- PC skills for spreadsheets, word processing and presentations
- A very high level of professionalism
- Bilingual skills Japanese/English
QUALIFICATION REQUIREMENTS:
Education: Bachelor’s Degree, Bilingual (Japanese / English) highly preferred, but not required.
Experience: Minimum 3 years related experience
Other: Computer proficiency required (Excel, Word, PowerPoint).
BUSINESS TRAVEL:
This position requires slight traveling around the office for supplies as necessary.
