Patomak is seeking a professional to fill the Executive Coordinator position in our Washington, D.C. office. The Executive Coordinator plays an integral role in supporting the success of Patomak by providing a variety of administrative and research support services to our Senior Executives and maintaining the cohesiveness of the office. The successful candidate will thrive in a team environment, provide excellent customer service, exercise discretion and diplomacy in all interactions, remain flexible, and proactively anticipate and manage challenges. This position could offer high performers the potential for promotions into significant operational roles at a fast-growing company, or instead, into client-facing positions in Washington or New York.

Overview of Job Duties:
- Manage calendars and schedules of senior team members, including coordinating with the offices of senior financial firm executives.
- Join meetings with senior leadership to support firm operations.
- Conduct research on potential clients operating in the financial sector.
- Support Patomak leadership’s various business development initiatives.
- Monitor financial regulation news, directing interns to produce daily news clips.
- Organize speaking engagements and business development events in collaboration with the Communications team.
- Review and report on time entries into the company’s time management software.
- Track and send reminders to employees on meeting deadlines set by Patomak’s leadership team.
- Assist with event planning as needed.
- Maintain and update contact lists as needed.
- Occasionally book lodging and travel for select senior team members as requested or needed.
- Assist the back-office with handling expense tracking for senior Patomak personnel.
- Provide administrative office support such as answering office phones and welcoming guests.
- Manage sensitive and confidential information appropriately and with a high level of discretion.
Skills and Desired Qualifications:
- Deliver exceptional administrative support and customer service in a team-based environment.
- Interest in better understanding financial markets and/or the U.S. public policy process is a plus.
- Excellent time management skills with ability to prioritize and effectively multi-task.
- Strong organizational, time management, and problem-solving skills.
- Ability to promote a team-culture with shared goals and responsibilities.
- Pro-active and curious.
- Strong writing, editing, and copy-editing experience.
- All-hands-on-deck mentality benefiting a collaborative work environment.
- Proficient with Microsoft Word, PowerPoint, and Excel.
- Basic IT knowledge.
- Keen attention to detail.
- Ability to work well in a team environment.
- Positive attitude and desire to learn.
Education and/or Relevant Experience:
- Experience in the financial industry or in a fast-paced public policy organization is a plus.
- Experience in a role supporting executives or in an administrative role in a fast-paced environment is a plus.
- Bachelor’s degree required.
- Proficiency in a foreign language relevant to the business activities of senior leadership members (e.g., Chinese, German, or Japanese) is a plus.
