Job Title: CW Department Admin

Job Description

We are seeking a Department Assistant who can take on additional responsibilities beyond traditional administrative duties. This role will support both internal operations and legal coordination efforts, including managing litigation inquiries, technical report management, and SharePoint administration.

Responsibilities

  • Assist with litigation inquiries, manage litigation hold materials, and correspond with legal teams to resolve requests.
  • Confirm closure requirements for Technical Reports and resolve related issues.
  • Serve as the owner of the department’s SharePoint site, supporting the transition from the S-drive and ensuring proper document management.
  • Assign eVA tasks to relevant design teams within CDPF.
  • Arrange and coordinate meetings, and support executives and visitors with business travel arrangements.
  • Facilitate new hire onboarding and manage office supplies, general facility support, and business card orders.
  • Oversee the Purchase Order process, including change orders, requisitions, updates, closures, expenditure reconciliation, and vendor invoicing.
  • Prepare and submit monthly accruals and reclassifications.
  • Track and report on budget and manpower, including entering estimates in T&P and using T-Dash for GM manpower tracking.
  • Maintain organizational and seating charts, including WISP updates.
  • Handle mail management and occasional shipping/receiving of packages.
  • Maintain the department’s evacuation list and participate in department-wide initiatives.

Essential Skills

  • Minimum of 4 years of experience in general office or departmental support roles.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong customer service mindset.
  • Proven ability to work well in a team environment.
  • Flexible and adaptable, with the ability to manage multiple projects.
  • Self-motivated and detail-oriented, with a proactive approach to problem-solving.

Additional Skills & Qualifications

  • Bilingual (Japanese-English) preferred for effective communication with global teams.
  • Knowledge of SAP and similar systems is a plus.
  • Advanced knowledge of SharePoint is highly desirable.
  • Strong understanding of N-SMS and SMS-BR systems.

Pay and Benefits

The pay range for this position is $24.00 – $29.00/hr.
Eligibility requirements apply to some benefits and may depend on your job
classification and length of employment. Benefits are subject to change and may be
