OBAYASHI CORPORATION is seeking a qualified candidate with experience in heavy civil construction projects and office administration. The Field Office Administrator serves as the project administrator for the project and the office manager for the local site office. The position reports to the Project Manager and is responsible for field office management, accounting administration, and other administrative tasks as necessary. This is a full-time, immediate position based at our office in Manchester, NH.
ROLE & RESPONSIBILITIES:
- Oversees day-to-day operations of the field office
- Maintain office organization, equipment, and supplies.
- Manage the onboarding of subcontractors and vendors
- Manage and coordinate the onboarding of non-union employees
- Ensure all site visitors are adequately trained, have the required PPE, and are escorted to access the project site.
- Respond to inquiries and direct to appropriate jobsite personnel, as needed.
- Assist with setting up project meetings.
- Source vendors for the field office.
- Manage office accounts, including deliveries and vehicle registration
- Review, approve, and process purchase orders and invoices
- Maintain office standards and ensure compliance with office procedures
- Coordinate maintenance, supply, and cleaning subcontractors for the project owner and the construction manager’s office facilities.
- Assist with preparing and transferring payroll / Heavy Job data as required. Training will be provided.
- Coordinate data for minority inclusion reporting and EEO reporting to the relevant state or federal agencies as required by project contracts.
- Manage input and output for the project document control system for the project team.
- Process and ensure accuracy of incoming A/P invoices for subcontractors and vendors.
- Assist the North American Civil Group (NACG) and the project management team with monthly project pay applications and subcontractor billings.
- Assist the North American Regional Headquarters (NARHQ) accounting team with monitoring subcontractor billings, lien releases, and insurance certificates through FlashTrac software.
- The responsibilities of this position include, but are not limited to, those listed above, and other duties may be assigned.
EDUCATION & WORK EXPERIENCE:
- 1-2 years of office administration experience. Construction industry experience is preferred.
- Experience with job-level A/P processing is preferred.
- Experience in recruiting and supporting craft workers is preferred, including familiarity with workforce planning and coordination in construction or related industries.
- Relevant IT systems experience.
SKILLS
- Excellent organizational and time management skills.
- Effective problem-solving skills.
- Proficiency in MS Office (MS Excel, MS Word, and MS Outlook).
- Ability to learn and use relevant ERP (Vista Viewpoint) and/or project management applications.
- Strong oral and written communication skills.
- Good interpersonal skills and the ability to work well in a team environment.
OTHER:
- This position will be immediately assigned full-time to a job site in Manchester, NH.
- Reliable transportation to and from work.
