OBAYASHI CORPORATION is seeking a qualified candidate with experience in heavy civil construction projects and office administration. The Field Office Manager acts as project administrator for the project and office manager for the local site office. The position reports to the Project Manager and is responsible for field office management, field staff recruiting and onboarding, field payroll timecard processing, accounting administration, certified payroll compliance reporting, and other administration tasks as necessary. This is an immediate full-time position based at our office in Manchester, NH.

ROLE & RESPONSIBILITIES:

  • Oversees day-to-day operations of the field office
  • Maintain office organization, equipment, and supplies
  • Manage the onboarding of subcontractors and vendors
  • Supports and oversees recruiting for craft labor
  • Manage and coordinate the onboarding of craft labor
  • Ensure all site visitors are adequately trained, have the required PPE, and are escorted to access the project site
  • Assist with setting up project meetings
  • Source vendors for the field office
  • Manage office accounts, including deliveries and vehicle registration
  • Handle petty cash requests and accounting
  • Review, approve, and process purchase orders and invoices
  • Manage (scan) delivery tickets, sort, and match with PO and Invoices
  • Maintain office standards and ensure compliance with office procedures
  • Process weekly field payroll using payroll software
  • Process and ensure accuracy of incoming A/P invoices for subcontractors and vendors
  • Assist the North American Civil Group (NACG) and project management team with monthly project pay applications and subcontractor billings
  • Assist the North American Regional Headquarters (NARHQ) accounting team with monitoring subcontractor billings, lien releases, and insurance certificates
  • Use Procore or a similar document control system to manage documents related to all the above

EDUCATION & WORK EXPERIENCE:

  • 5+ years of construction project administration experience
  • Certified payroll is highly preferred
  • General understanding of payroll processes and principles
  • Experience with job-level A/P processing
  • Relevant IT systems experience

SKILLS

  • Excellent organizational and time management skills
  • Strong leadership and problem-solving skills
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook)
  • Experience with relevant ERP and/or project management applications (Viewpoint preferred)
  • Experience with a relevant project document control system (Procore preferred)
  • Strong oral and written communication skills required
  • Strong interpersonal skills and the ability to work well in a team environment

OTHER:

  • This position will be immediately assigned full-time to a job site in Manchester, NH.
  • Reliable transportation to and from work.
