The Contracts Coordinator will support the organization’s contract management processes by ensuring timely intake, preparation, routing, execution, and archival of agreements. This role requires strong attention to detail, organizational skills, and the ability to collaborate across multiple teams to maintain compliance and operational efficiency.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Receive and log incoming contract requests.
  • Prepare contracts from templates, including NDAs, licenses and property agreements.
  • Review, and/or route contracts for internal review, and approval.
  • Respond to internal inquiries regarding contract terms, obligations and processes.
  • Confirm signatory authority and manage signature processes.
  • Ensure timely execution of agreements.
  • Archive executed agreements and maintain a centralized repository.
  • Maintain version control for contract templates.
  • Monitor contract expirations, renewals, and obligations.
  • Maintain dashboards to track contract status and key milestones.
  • Manage licensing workflows including intake, routing, signature, and repository updates.
  • Track technology transfer deliverables, destruction confirmations, and renewal timelines.
  • Collaborate with Product Management, Engineering, and IT teams for access provisioning to external sites.
  • Track intellectual property (IP) maintenance events impacting licensed assets and notify stakeholder
  • Assist in developing and implementing contract policies, templates and best practice

Qualifications:

  • Bachelor’s degree in business administration, legal studies, or related field required
  • 2+ years of experience in contract administration or document management required
  • Some experience working in/with Legal department is highly preferred
  • Strong organizational, interpersonal and time-management skills.
  • Proficiency in Microsoft Office Suite and Contract365 or similar contract management tool.
  • Ability to handle sensitive information with confidentiality
  • Strong understanding of contract law principles and risk management preferred
  • Ability to read and draft in Spanish, Chinese or Japanese language helpful but not required
