Job Summary

Within the Community Development Department, the Neighborhood Outreach Program Assistant will provide administrative and program support for the Neighborhood Outreach Team. The Program Assistant will work across city departments and with a wide range of community members to successfully plan and execute program-related events, analysis and other deliverables. The Neighborhood Outreach Team, through programming and direct outreach, builds community connection, strengthens relationships between neighborhoods and the City, and helps build civic participation and leadership, reflecting Bellevue’s unique population.

This position will be responsible for providing intermediate to advanced administrative and programmatic support. You may function in a lead role on ongoing work or special projects/assignments. Computer usage is frequent, and you must possess knowledge and experience in the application/operation of software programs that goes beyond basic word or Excell processing. Work may involve the development of moderately complex spreadsheets, presentations, reports, and outreach material.

This position is anticipated to work 16-24 hours per week, mainly in-person at work locations, primarily City Hall. Regular office, field, and remote hours will be agreed upon with the team, with adjustments to accommodate occasional evening and weekend events.

This position is part-time and funded through 2026.

Essential Duties and Responsibilities

  • Provide logistical and administrative support for Neighborhood Outreach team events such as community meetings, workshops, neighborhood celebrations and other large and small events. Tasks include working with event-related vendors, procuring supplies, loading materials, setting up displays, staffing information tables and coordinating activities.
  • Help troubleshoot event or program issues on-site, ensuring smooth operations and positive resident experiences.
  • Assist with pilot projects, such as new outreach strategies to increase participation in neighborhood programs.
  • Maintain spreadsheets and databases to monitor neighborhood-level contacts, program participation and other performance metrics.
  • Manage outreach materials inventory and tracking, including storage and distribution of brochures, signage, and promotional items.
  • Compile and analyze program data, including event attendance and resident feedback; prepare summaries and reports for staff and leadership.
  • Provide administrative support to program coordinators, including scheduling, correspondence, and document preparation.
  • Perform special projects as assigned, supporting the Neighborhood Outreach team’s strategic goals.

Supervision Received

  • The program assistant reports to the Neighborhood Outreach Manager.
  • This position does not supervise any staff.

Qualifications
Knowledge, Skills and Abilities:

  • Excellent organizational and documentation skills, along with great attention to detail.
  • Excellent interpersonal and communication skills with the ability to work with a range of community stakeholders.
  • Demonstrated experience supporting neighborhood outreach programs.
  • Strong customer service skills, including professional phone etiquette and interacting with the public during deliveries and outreach events.
  • Excellent verbal, written, and interpersonal communication skills.
  • Demonstrated understanding of community outreach and engagement practices at the local level.
  • Ability to think, plan, and execute on multiple projects simultaneously in a fast-paced environment while maintaining good judgment.

Education, Experience and Other Requirements:

  • High school diploma
  • Four years of progressively responsible related work experience or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

Flexible/Hybrid Working: A hybrid work schedule is available for this position following an orientation period working in the office after hire. Remote work for this position is subject to the department’s operational needs and will be discussed with candidates during the selection process. Full-time remote work is not an available option. Once hired, employees must reside in the State of Washington and within reasonable commuting distance to Bellevue City Hall.

Definition of a Variable Employee:

  • Average weekly hours cannot be determined at date of hire
  • Hours may vary from week to week and are anticipated to be 28 hours per week or less
  • NOTE: Will be considered full-time and eligible for medical coverage if hours average 30 hours per week or more over a 12-month measurement period (or 130 hours per month)
