Job Purpose

The Executive Assistant position supports multiple Assistant Vice Presidents with administrative duties such as managing and maintaining daily calendars, meeting planning, expenses and travel plans. Also, communicates between associates, vendors, customers and works with dealers to set up meetings and other requirements. This position supports multiple different divisions and departments within the Auto Sales Business Unit including Honda Auto Sales, Acura Auto Sales, Sales & Logistics Planning and Auto Sales Planning divisions, and the Marketing Business Unit.

Key Accountabilities

Executive & Administrative Support

  • Manage and maintain complex executive calendars, coordinate meetings, conferences, and events
  • Arrange domestic/international travel, prepare detailed travel packets, and process expense reports
  • Prepare correspondence, presentations, meeting materials, agendas, and reports
  • Serve as liaison between executives and associates, dealers, customers, vendors, and external partners
  • Handle confidential and sensitive information with discretion and sound judgment
  • Support Japanese staff and cross-cultural coordination as required

Office, Division & Zone Operations

  • Provide general administrative and clerical support (phones, correspondence, records management, filing)
  • Coordinate office operations, onboarding support, system access, and equipment requests
  • Oversee or support other administrative associates; provide guidance and training as necessary
  • Ensure compliance with record retention, documentation, and internal policies

Financial, Budget & Systems Support

  • Process accounts payable, requisitions, SAP transactions, cost center administration, and credit card reconciliations
  • Track, monitor, and reconcile departmental, divisional, or zone budgets; prepare budget reports
  • Ensure timely invoicing and payment processing

Reporting, Data Analysis & Projects

  • Compile, analyze, and distribute daily, weekly, and monthly business and sales reports
  • Utilize internal systems and Microsoft Office tools to support data analysis and executive decision-making
  • Lead or support special projects, divisional initiatives, national programs, meetings, and events
  • Anticipate operational issues and proactively recommend solutions

Qualifications, Experience, and Skills

  • Associate or bachelor’s degree preferred, or equivalent combination of education and experience
  • 2 – 5 years of progressive administrative or executive assistant experience supporting senior leadership

  • Exceptional organizational, time management, and prioritization skills
  • Strong verbal and written communication skills
  • High level of professionalism, discretion, and judgment
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook; experience with SAP and internal reporting systems preferred
  • Ability to work independently, manage competing priorities, and meet deadlines
  • Strong interpersonal skills with ability to build effective relationships at all organizational levels
