Summary:
Responsible for administrative and light research duties, including general assistant tasks, office bookkeeping and management as well as some translation work. Reports directly to SVP & GM of the ITOCHU Washington Office. Position is part-time.
Key Responsibility areas:
1. Perform general administrative assistant duties for SVP and GM, including scheduling appointments, database/document management, composing or dictating internal and external communications, arranging/coordinating meetings, functions, and making travel arrangements, etc. Serve as contact point for communication with Company’s headquarters.
2. Perform accounting duties including managing payments schedule for office service fees and vendors. Manage data entry into Company’s accounting software (SAP), register vendors or contractors for payment adhering to Company policies and requirements. Compile and create department expense reports. Coordinate with company headquarters to ensure accuracy of all submitted expense reports and invoices for payments.
3. Perform general affairs functions including inventory and maintenance of all office supplies and equipment. Coordinate functions with the building management.
4. Perform light research assistant tasks including Internet searches, summarizing in-house reports prepared by U.S. analysts and translating into Japanese, as needed.
5. Perform other job functions as assigned.
Qualifications:
• A minimum of 3-5 years of relevant experience.
• Fluency in Japanese and English
• Knowledge of basic accounting principles and experience processing A/P, A/R utilizing accounting software, SAP experience preferred.
• Proficient in Microsoft Office, Outlook, Excel, Word, and PowerPoint.
