A Japanese Manufacturing Company located in the Columbus, IN area is currently on the lookout for a Japanese bilingual, full time Executive Assistant to join their team.
This role supports all of the Japanese expatriates that are assigned to work in the United States for the company. The Executive Assistant aids executives by handling a wide variety of situations involving the administrative functions of the office, and provides high-level administrative support by preparing reports, handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Also, serves as the travel coordinator for the company, arranging flights, hotel accommodations, rental cars, and expense accounts.
DOE and skills, the pay range for this position would be within the 58k-68k mark. This position also includes great benefits such as medical, dental, vision and life insurance along with 401k.
The working schedule for this position is from Monday through Friday from 8-5 and weekends off.
Your essential duties for this position would be as follows:
- Schedule and organize complex activities such as meetings, travel, and department activities for all members of the Senior Management Team.
- Create and develop visual presentations for the President.
- Organize and prioritize information and calls.
- Open mail for the President and determine level of priority.
- Facilitate communication between the company’s departments and the headquarters in Japan, assisting US team members with translation and presentation.
- Assist senior management in the management of their schedules.
- Handle confidential and non-routine information.
- Work closely with the Human Resource team to assist our Japanese ex-patriots with immigration, banking, housing and medical visits.
- Skill at completing assignments independently and participating in teams to complete projects.
- Acts as project manager for special projects, at the request of the Executive Team, which may include planning and coordinating multiple presentations, disseminating information, and organizing company-wide events. Type and design general correspondence, memos, charts, graphs, business plans, etc.
- Skilled at using all Microsoft Office products to complete tasks.
Please consider the following qualifications:
EDUCATION and/or EXPERIENCE:
- College degree preferred but not required. High school diploma or equivalent certificate (GED); three plus years of work experience in an office environment; or equivalent combination of education and experience.
LANGUAGE SKILLS:
- Must be fluent in English and Japanese languages.
- Must possess the ability to read/write and comprehend instructions, correspondence, and memos in English and Japanese.
- Ability to interface well with all departments of the company and to represent the Senior Management Team in a highly professional manner.
