Mitsubishi Power Americas, Inc. in Lake Mary, FL is seeking a Contracts Manager.
SUMMARY
The Contracts Manager (CM) is responsible for supporting the Project Manager in project execution throughout the project lifecycle from bid to contract close-out.
The CM supports the overall project while overseeing and managing all aspects of the project in terms of contractual performance and fulfillment of the Contracts. The CM monitors project milestones and deliverables and will properly advise the Project Team of contractual obligations in real time as well as prepare data and scenarios for claims management.
The CM manages and coordinates the Claims management include incoming claims as well as Mitsubishi Power claims toward the Customer, Consortium Partner, Engineering Procurement and Construction Contractors or Supplier as necessary. The CM works under the direct supervision of the Legal Department to ensure any claim or variance from the project requirements is identified and managed to maximize the project’s successful closeout.
ESSENTIAL DUTIES & RESPONSIBILITIES
Support the General Counsel in development and implementation of claims and contracts strategy
Support the principal project managers (PPM’s) in tracking and managing variances and deviations and deliverable performance against a project baseline
Actively manage all project claims and delays through issue tracking tools including costs, time impact, equipment damage or rework and develop/present mitigation plans and strategies to the PPM’s and General Counsel (as applicable)
Create and process delay and claim notifications in a timely manner and log communications into tools such Claims Registers, SharePoint or other Databases
Implement Change Order and Change Management tracking for the project including design modifications, repairs and replacements
Maintain contract management documentation and electronic files, including contemporaneously obtaining and filing back-up documentation for delays, claims, back-charges and rejections
Manage critical project correspondence by ensure timely submission of contractual notifications / deliverables including review of commissioning procedures and test completion reports
Draft contractual letters, replies and notifications with regard to contractual issues in coordination with the Construction Management business lead
Review incoming and outgoing correspondence
Review Minutes of Meetings for various meetings
Review the Monthly Progress Reports to be submitted to the Customer in coordination with the RSA and the Construction Management
Create and maintain monitoring and tracking tools for: Notifications and contractual deliverable tracking list, Delay tracking log, Claims / Back charge log for vendor, partners & customer, major milestone review log, and Insurance claim log
Support the development, distribution and retention of project records and reports
Support the Project Manager in project financial improvements through change management, including the necessary reviews and approvals needed to develop and manage change requests and modification to the scope of work, and/or scope of supply
Foster cohesive team building and team interaction across both Internal and external organizations and stakeholders
Engage in professional development activities in the areas of project management, leadership, finance, accounting and business administration
OTHER DUTIES & RESPONSIBILITIES
Comply with all environmental health and safety (EHS) policies and procedures, including reporting or unsafe activities to EHS & Human Resources (HR)
Communicate effectively with staff and management at all levels
Maintain the highest degree of honesty and integrity at all times
Participate in proactive team efforts to achieve departmental and company goals
Protect confidential information by not communicating, disclosing to, or using for benefit of 3rd parties
Work in the global environment to maintain standards and latest practices
Maintain a valid passport and driver’s license
Expect to work while travelling domestically and internationally ~10-40% of the work year
Work with the PM Team to ensure complete and timely capture, review, approval and distribution of meeting minutes to include attendees, action items and action item close-outs
Perform other such duties as may be required
KNOWLEDGE, SKILLS & EDUCATION
Education and/or Experience: Juris Doctorate (JD) Law degree; and 5 (five) plus years related experience
Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. English, Spanish and Japanese language capability is strongly preferred
Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
Computer Skills: Proficient in MS Office; familiar with SAP, project scheduling. Knowledge of computer-aided design, database, project management, spreadsheet and word processing software, electronic mail, graphics, technical diagrams, flow charts, etc.
PHYSICAL DEMANDS & WORK ENVIRONMENT
Regularly required to sit and talk or hear. Occasionally required to stand and walk. Occasionally lift and/or move up to 10 pounds. The noise level in the work environment is usually quiet. Hearing protection may be recommended and/or required in some areas.
