Job Summary
The Head Receptionist is a key member of the leadership team responsible for overseeing all aspects of the reservation and reception experience. From managing incoming guest inquiries and maximizing booking opportunities to maintaining an exceptional first impression and driving recognition programs, this role plays a critical part in shaping the guest journey from the very first interaction.
You will lead a team of receptionists and reservationists, ensuring seamless communication, polished service, and flawless front desk operations that reflect Buccan’s commitment to excellence, warmth, and precision.
Core Responsibilities
Guest Experience & First Impressions
- Ensure all calls and inquiries are answered promptly, professionally, and in accordance with brand standards.
- Greet and welcome all guests with warmth, clarity, and personalized service.
- Handle guest requests and feedback with urgency and empathy, resolving issues or escalating to management as appropriate.
- Foster a culture of guest recognition and memory, especially for VIPs and repeat guests.
Reservations & Revenue
- Lead the execution of all reservations, ensuring accurate information and smooth coordination with service and kitchen teams.
- Optimize seating and table management to maximize covers and turn time.
- Proactively drive individual, group, and event bookings through clear communication and follow-up.
- Support the execution of promotions and conversion of inquiries into confirmed bookings.
Database & Administrative Management
- Maintain and expand the guest database, ensuring accurate data capture and usage in line with data protection laws.
- Oversee all correspondence related to reservations, events, and guest requests.
- Coordinate special guest arrangements, dietary notes, and seating preferences with the appropriate departments.
- Develop clear and user-friendly filing and communication systems for the front desk.
Team Leadership & Scheduling
- Train and mentor the reception team in hospitality standards, communication etiquette, and guest handling procedures.
- Create and manage the front desk schedule in alignment with business needs and labor targets.
- Conduct regular check-ins, performance evaluations, and on-the-job coaching.
- Deliver or coordinate training sessions to keep the team informed and confident on current offerings, menus, and reservation tools.
Operational Coordination
- Act as the liaison between reception, kitchen, and service teams to ensure smooth service transitions and accurate information flow.
- Lead daily shift handovers and ensure consistent documentation of notes, feedback, and special reservations.
- Maintain presence at the host stand during peak periods, setting the tone for service and providing hands-on support.
Health, Safety & Compliance
- Ensure the front desk area is always safe, clean, and fully stocked.
- Be fully trained in fire, evacuation, and emergency response protocols.
- Uphold all confidentiality, data security, and workplace safety policies.
Requirements
- 3+ years of experience in a guest-facing receptionist, host, or reservations role in a high-end or fine dining environment.
- 1+ year of team leadership or shift supervisory experience preferred.
- Exceptional communication, organization, and multitasking skills.
- Fluent in English; additional languages a plus.
- Proficiency in reservation platforms such as OpenTable, and Toast POS systems.
- Warm, polished, and calm under pressure.
- Flexible schedule includes nights, weekends, and holidays.
