Job Title: Human Resources & Administration Manager

Position Summary: The Human Resources & Administration Manager will be responsible for overseeing the Human Resources (HR) Department, the Administration Department, the Loss Prevention/Security Coordinator, and the Safety Coordinator. This position requires extensive knowledge of OSHA regulations, proficiency in ADP Workforce Now, and substantial experience managing HR functions within a unionized environment. The ideal candidate will possess 10-15 years of relevant experience and demonstrate strategic leadership in HR management, administration, safety, and security, with a strong focus on fostering positive employee relations and maintaining effective labor relations within union settings.

Key Responsibilities:

  • Lead and manage the HR, Administration, Loss Prevention/Security, and Safety departments, ensuring alignment with organizational goals and compliance with federal, state, and local regulations.
  • Oversee the implementation of HR policies, procedures, and programs, including employee relations, recruitment, training, payroll, benefits administration, and compliance.
  • Ensure that employee lifecycle processes are efficiently managed, from new hire onboarding to separation, including orientation, training, performance management, and annual reviews.
  • Maintain strong knowledge of OSHA standards to ensure a safe and compliant work environment.
  • Coordinate with the Safety Coordinator to develop and enforce workplace safety programs and conduct safety audits.
  • Oversee the Loss Prevention/Security Coordinator to maintain the security of facilities, assets, and personnel.
  • Provide oversight for office administration functions, coordinating office activities and operations to ensure efficiency.
  • Maintain relationships with local union representatives, providing guidance on the administration of the Collective Bargaining Agreement (CBA), grievance handling, and arbitration procedures.
  • Demonstrate the ability to interpret and apply the terms of the CBA, including wage scales, working conditions, and dispute resolution procedures.
  • Collaborate with union representatives to resolve employee disputes and grievances promptly and fairly, maintaining positive labor relations.
  • Develop and implement strategies for managing collective bargaining negotiations and labor relations effectively.
  • Advise warehouse and office managers on HR issues, ensuring compliance with employment laws, CBA terms, and company policies.
  • Manage recruiting, hiring, orientation, training, and labor relations across multiple states (NY, MA, NJ, MD).
  • Develop and execute talent acquisition strategies, ensuring the identification of top talent through cost-effective methods.
  • Manage and enhance employee engagement through targeted initiatives and surveys.
  • Author internal communications on HR initiatives, organizational changes, benefits updates, and other pertinent matters.
  • Ensure data confidentiality, accuracy, and compliance with regulatory requirements.
  • Oversee open enrollment for benefits and manage workforce planning and payroll processes through ADP Workforce Now.
  • Manage vendor relationships, contracts, and budget optimization within administrative operations.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • 10-15 years of progressive experience in HR management, including union and non-union environments.
  • Proven experience managing HR functions, safety programs, security operations, and union relations.
  • Demonstrated expertise in interpreting and administering collective bargaining agreements.
  • In-depth knowledge of OSHA regulations and experience implementing safety protocols.
  • Proficiency in ADP Workforce Now and Microsoft Office Suite.
  • Strong leadership skills with the ability to manage multi-functional teams.
  • Excellent communication and interpersonal skills with the ability to influence and collaborate at all organizational levels.
  • Ability to manage confidential and sensitive information with discretion.
  • Demonstrated problem-solving skills and a strategic mindset.
  • Strong understanding of employment laws (FMLA, ADA, FLSA, HIPAA, OSHA, EEO) and HR best practices.
  • Prior experience in a warehouse, food industry, or similar environment is highly desirable.
  • Must be organized, detail-oriented, and capable of managing multiple projects simultaneously.
  • Ability to develop and execute strategies that align with business objectives and regulatory standards.

Physical Requirements

  • Ability to sit at a desk and work on a computer for extended periods of time.
  • Ability to lift up to 15 pounds at times.

Other Requirements

  • Business level English – read/write/speak/listen.
  • Bilingual in Japanese, Spanish, Korean, or Chinese
  • Bachelor’s degree in Human Resources, Business Administration, or equivalent work experience.
  • Extensive experience with ADP Workforce preferred or other HRIS systems.
  • Minimum 10-15 years of Human Resource Management experience.
