Entry-Level Operations & Logistics Coordinator – Full-Time
Leading Japanese Logistics Company | Chicago Area (Wood Dale, IL)

Position Overview:
We are seeking an entry-level Operations & Logistics Coordinator to join a leading Japanese logistics company in the Chicago area. This role is full-time and reports directly to the Manager.

Location: Wood Dale, IL 60191
Employment Type: Full-Time
Compensation: $26.44 – $28.85/hour (~$55,000 – $60,000/year) | Non-Exempt (eligible for overtime)
Requirements: Entry-level candidates welcome. Must be flexible, adaptable, and open to learning. Basic Excel skills required.

Key Responsibilities:

A. Logistics Management

Process all domestic and international shipments and cargo.
Prepare and submit shipping documentation (BILL, FMC filing, ISF, AES, shipping advice, insurance, arrival notice, delivery orders, carrier & billing info, etc.) to US Customs, carriers, customers, and internal teams.
Enter cargo, transport, and pricing data into company database.
Coordinate with ground, air, and ocean carriers to arrange shipments.
Communicate with customers regarding shipment details (carriers, method, fees, schedules).
Work with Customs Brokers and/or US Customs as needed.
Facilitate cargo clearance through customs.
Act as liaison among all parties involved in shipping.
Provide general shipping and logistics support as needed.
Coordinate with vendors (warehouses, trucking, transloading facilities, ports, airports) and supervise operations; visit facilities if necessary.
B. Warehouse & Inventory Management

Perform shipping and receiving functions.
Support cargo verification, storage, and handling at on-site/off-site warehouses.
Maintain accurate documentation and tracking of cargo.
Update inventory information in the company database.
Track and report inventory control for internal use and customers.
Support physical inventory procedures, packaging, labeling, and loading as needed.
Record damaged stock when necessary.
Provide general warehouse support as required.
C. Staff Troubleshooting & Customer Service

Report issues/problems to the General Manager.
Escalate complex issues to the General Manager.
Notify customers of delays or other issues.
Troubleshoot issues promptly and effectively.
Verify consistency in arrival/delivery notices; update records for late arrivals, claims, or damaged items.
Provide support to ensure customer satisfaction.
