Position Summary
The Internal Control Administrative Coordinator supports the Internal Control/Audit (ICA) department by managing administrative tasks, coordinating communications, and assisting in audit and compliance activities. This position plays a key role in maintaining accurate documentation, supporting J-SOX compliance efforts, and facilitating communication between internal teams, group companies, and external stakeholders, including auditors.
Key Responsibilities
- Manage and distribute ICA-related documentation (both physical and digital), ensuring accuracy and accessibility.
- Assist in scheduling, organizing, and documenting ICA review meetings.
- Coordinate with external auditors and internal teams on behalf of the ICA department.
- Support training sessions related to J-SOX and internal audits.
- Create and translate documents between Japanese and English using Microsoft Office tools (Excel, Word, PowerPoint).
- Draft professional communications for internal and external audiences based on auditor instructions.
- Maintain and organize databases, records, and other critical documentation.
- Provide administrative support for special ICA projects.
- Perform other duties as assigned by management.
Qualifications
Required:
- Associate degree in Business Administration or a related field.
- Japanese language proficiency (reading, writing, and speaking).
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Strong attention to detail, organizational, and time management skills.
- Ability to create, translate, and present accurate and professional business documents.
- Experience in coordinating meetings and managing confidential data.
Preferred:
- Experience working in an OEM or manufacturing environment.
- Prior experience supporting audit or internal control functions.
