Department Purpose and Structure
The department’s function is to provide high-quality US paralegal and legal support administration to the attorneys of A&O Shearman. These services need to be delivered efficiently while maintaining sharp focus on sustaining and improving a best-in-class environment.

Role Purpose
The role of IP Litigation Specialist is to provide specialized matter support to lawyers in the IP Litigation practice group and assist with matters for the broader Disputes department. This includes initial information gathering, correspondence, discovery, briefing, filings, docketing, trials, hearings, arbitrations, and careful archival of case material. The IP Litigation Specialist must be exceptionally organized, with an ability to execute tasks with minimal supervision.

Job Description
Role & Responsibilities

  • Drive case management of IP Litigation matters, including team coordination, outside communication management, and overall case organization.
  • Track all relevant matter dates and deadlines, including relevant statutory deadlines.
  • Assist with document retrieval, review, organization for document productions.
  • Maintain case pleadings, correspondence, discovery and research.
  • Compile document collection, production and privilege logs and prepare exhibit lists.
  • Support and provide guidance to attorneys related to court filings, including adherence to strict deadlines and local/individual court practices.
  • Coordinate depositions and prepare witness kits.
  • Conduct legal research using Bloomberg, Lexis, Westlaw Next, Pacer, etc.
  • Coordinate work with outside document and litigation vendors, including adherence to strict deadlines.
  • Cite-check, Shepardize and Bluebook briefs; prepare tables of contents and authorities, assemble accompanying exhibits.
  • Provide extensive trial support, including but not limited to: assisting with trial preparation, managing exhibits, drafting witness lists, helping to prepare witnesses, arranging travel, ordering meals, and providing on the ground courtroom support.
  • Manage hearing and arbitration preparation, including scheduling, notification, preparing exhibits and other necessary materials; attend, and assist in, related proceedings.
  • Assist with training junior paralegals.
  • Attend practice group and case team meetings.
  • Prepare and release daily time entries.
  • Prepare audit response letters.
  • Assist with special projects, e.g., monitor topics of interest to attorneys, coordinate meetings, etc.
  • Other duties and responsibilities, including support to broader Disputes team, as assigned.

Team
This individual will report directly to the Senior Manager of Paralegal and Legal Support Administration and will work closely with all members of the practice group.

Key Requirements

  • Bachelor’s degree required.
  • 7+ years of IP Litigation experience in a law firm or equivalent.
  • Extensive trial experience, ideally including multiple patent trials.
  • Professional proficiency in Japanese and/or Mandarin is a plus.
  • Strong organizational and time management skills.
  • Proficiency in legal research databases and tools to find relevant case law and statutes.
  • Knowledge of factual issues and court procedures for assigned matters.
  • Experience in filing significant briefs in federal and state courts.
  • Excellent written and verbal communication skills.
  • Diligent attention to detail.
  • Ability to analyze information, make informed business recommendations and decisions, and solve problems.
  • Capacity to work under pressure and prioritize heavy and varied workloads.
  • Strong computer skills, including proficiency with Microsoft Office.
  • Maintain confidentiality and exercise discretion in a professional manner.
  • Must be driven, enthusiastic, resourceful, result-oriented, proactive, and responsive.
  • Flexibility to travel and/or work outside of scheduled business hours, as needed.

This role is open to our New York, San Francisco, Boston, and Austin offices. For individuals assigned to or hired for this opportunity in New York, the estimated annualized base salary range for this position is $107,000 – $139,000. For individuals assigned to or hired for this opportunity in San Francisco, the estimated annualized base salary range for this position is $108,000 – $151,000. For individuals assigned to or hired for this opportunity in Boston, the estimated annualized base salary range for this position is $104,000 – $136,000. For individuals assigned to or hired for this opportunity in Austin, the estimated annualized base salary range for this position is $86,000 – $119,000. The actual base salary offered will depend on the overall qualifications of the individual applicant for the position and other job-related factors permitted by law. We offer a competitive compensation and benefits package which includes a discretionary bonus, paid leave, life, health, accident, and disability insurance; and a 401(k) plan.
