Department Overview:

The Americas Division (“AD”) was established in the Sumitomo Mitsui Trust Bank, Limited, New York Branch) (“SMTBNY”) to perform corporate functions and supervise U.S. entities. Established under the AD are the “Global Banking Unit (“GBU”), Americas Division” and “Global Markets Unit (“GMU”), Americas Division” which performs business functions. The Legal Department (“LGL”) provides support to all departments of the New York Branch for legal consultation and advice in order to reduce legal and regulatory risk and to reduce the overall legal costs of Sumitomo Mitsui Trust Bank, Limited (“SMTB”).

Position Overview:

Follows established guidelines for day-to-day, routine operational and administrative work. May be required to use some independent thought to handle complex issues. Focus on execution within defined parameters, some expansion based on developing capabilities or experiences in conjunction with experienced staff. May have informal supervisory functions assigned.

Duties and Responsibilities:

  1. Maintains the law library.
  2. Assists in ensuring that all required licenses held by attorneys in the Legal Department (e.g., licenses to practice law including Continuing Legal Education and to act as a notary public) are maintained.
  3. Assists in coordinating with the Accounts Payable section of the New York Branch to make sure that all appropriate invoices of legal publishers, licensing authorities and professional organizations (e.g. American Bar Association, New York State Bar Association and the Association of the Bar of the City of New York) are paid in a timely manner.
  4. Assist in reviewing and approving Customer Account Profiles (new and ongoing) for the Legal Department including, without limitation:

– Analyzing Ownership Structure and Use of Proceeds sections.

– Reviewing back up documentation.

  1. Provides coverage for following functions when necessary:
    1. Performs all word processing and spreadsheet functions including Proofreading. Prepares internal memos, external correspondence, spreadsheets and other material.
    2. Answers telephones and takes messages.
    3. Makes photocopies and sends faxes.
    4. Sorts and distributes incoming mail. Coordinates outgoing mail and packages with the mailroom.
    5. Maintains files for department documents.

Knowledge/Skills

  1. Bachelor’s degree or its equivalent with 3+ years of related experience.
  2. Good knowledge of Microsoft Word, Excel, Outlook and SharePoint as well as other Microsoft Office products.
  3. Excellent oral and written communication and interpersonal skills.
