Functional Title: Payroll and Benefits Administrator

Position Summary

This position will coordinate daily operations of payroll processing and group benefit programs.

Essential Duties/Function:
• Prepare payroll calculations and processing for local and expatriate employees; coordinate information to ensure all related payments, deductions, and/or changes are properly captured. Handle GL entries and adjust entries as requested.
• Assist the payroll manager in preparing payroll and benefits for employees throughout the employee life cycle. Collect, maintain, and update payroll and benefits information to keep documents and systems up to date.
• Administer and track leaves of absence and update ADP System with employee time off requests.
• Assist with correcting timesheet information for non-exempt employees.
• Monitor transactions to ensure the information from insurance invoices reflects the monthly/bi-weekly payroll information. Research and report any discrepancies and correct the figures as necessary.
• Prepare and coordinate mandatory annual reporting (e.g., ACA, Census, etc.)
• Present annual Open Enrollment presentation to employees.
• Coordinate with ADP to prepare for the annual Open Enrollment, ensuring all enrollment selections are processed accurately and in a timely manner. Review the accuracy of the elected information and correct as needed.
• Assist benefits and payroll audit activities and records to ensure they are updated.
• Assist individual tax filings for expatriate staff in collaboration with payroll manager; collect required information, process and track tax payments as required.
• Support payroll manager with plan vendors, NLGIA affiliate and third-party administrators; coordinate transfer of data to external contacts for services, premiums, and plan administration; document and maintain administrative procedures for assigned benefit processes; assist with collection and calculation of Liaison sheet.
• Research internal payroll and benefits inquiries and resolve accordingly.
• Assist the Sr. Staff Accountant with accounting matters, as requested.
• Provide translations for documents and emails exchanged in Japanese as needed.
• Evaluate and document procedures to improve efficiency and suggest improvements.
• Ad-hoc requests, as assigned.

Experience/Qualifications:
• Associate’s and/or Bachelor’s Degree in Human Resources, Accounting, Finance, Business or related field required.
• 2 + years’ experience in US payroll is required. Global (Gross-up) payroll is preferred.
• Understanding of benefits and accounting is a plus.
• Business level proficiency in English and Japanese is required.
• Proficiency with Microsoft Office (Word, Excel, PowerPoint) is required. Working knowledge of ADP, Benefits related systems, MS Dynamics and Concur is preferred.
• Excellent communication and interpersonal skills; ability to compose correspondence.
• Highly organized with strong attention to details. The ability to adapt to change in a business environment is also critical.
• Ability to report on-site to the NYC office from Monday to Thursday is required during training periods and as requested.

The expected hourly rate for this position ranges from $33.66/hr. – $37.50/hr. (annualized gross base pay equivalent to $70,000 – $78,000). It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. In addition to salary, overtime earnings, and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus based on qualitative and/or quantitative performance factors.
