Our client, a leading international investment bank, is seeking an organized, polished, and proactive college graduate Receptionist to join its Administration team in New York City. Serving as the first point of contact for employees, clients, and visitors, this individual will play a vital role in creating a professional, welcoming, and highly efficient office environment. This opportunity is ideal for someone who thrives in a fast-paced corporate setting, takes pride in delivering exceptional service, and enjoys being a dependable resource across the organization. Reporting directly to the Head of the CEO Office, the successful candidate will become an integral member of a collaborative team supporting daily office operations, executive initiatives, and company culture efforts.

  • 70,000-75,000 + some OT, discretionary bonus, 401k and benefits

Responsibilities:

  • Greet and welcome clients, guests, and employees with professionalism and warmth
  • Answer and direct incoming calls to the appropriate departments and personnel
  • Manage conference room scheduling, setup, breakdown, and supply organization
  • Coordinate incoming/outgoing mail, packages, courier services, and deliveries
  • Maintain the appearance and organization of the reception and common areas
  • Provide administrative support including data entry, document management, photocopying, and filing
  • Liaise with building management and internal teams to address facility-related issues
  • Manage visitor registration, lobby security systems, guest access, and visitor logs
  • Assist with preparation and distribution of internal and external communications
  • Support office management projects, company events, and team functions as needed

Required Qualifications:

  • Candidates who speak Japanese are a plus
  • Bachelor’s degree from an accredited college or university
  • Minimum 2 years of receptionist or administrative experience, preferably within financial services
  • Exceptional interpersonal, verbal, and written communication skills
  • Proficiency in Microsoft Office Suite including Outlook, Teams, Word, and Excel
  • Strong organizational skills with excellent attention to detail
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Professional demeanor, appearance, and customer-service mindset
  • Ability to handle confidential and sensitive information with discretion
  • Team-oriented attitude with flexibility to assist across functions when needed
  • Willingness to occasionally arrive early or stay late based on business needs
