Job Summary:

Responsible for coordinating efforts to support Tokio Marine Group expatriates (“Expats”) in the US. Provides support to expats and their families to help them make a successful transition to their new rotation in the US.

Primary Job Duties:

  • Assist Expats with obtaining and renewing visas, including but not limited to preparation of requisite documents, scheduling appointments with the US embassy, and providing advice for interviews
  • Coordinate and correspond with Expats, other corporate liaison members, colleagues in the Tokio Marine group companies, HR Department and external immigration counsel, to prepare support letters and other forms and filings required for visa applications and renewals. Help resolve key immigration issues as they arise
  • Assist Expats and their families with maintaining immigration status in the US by monitoring expiration and renewal dates, compiling, updating, and tracking information in a centralized fashion and reminding expats of key dates and actions required
  • Provide Expats and their families advice and assistance related to housing, moving, commuting, social security, banking, driver’s license, etc.
  • Assist Expats perform tax reporting and timely payment in the US by coordinating with other members of the Americas Team, external tax advisors, HR Dept. in Tokyo and IRS. Help resolve key tax issues as they arise
  • Provide assistance to Expats and their families with signing up for health coverage upon onboarding and remove them from coverage when their assignment ends. Work with other corporate liaison members and HR Dept. of TMNAS to review coverage and compare plans upon renewals
  • Advise Expats on the expense management process. Sort out issues with HR Dept. in Tokyo as issues arise. Manage and coordinate overall expense administration
  • Maintain and update referential manual for Expats on all of the aspects listed above
  • Provide administrative support as needed including coordination of logistics for various internal and external ( including Tokio Marine Group Companies) conferences/meetings, ordering office supplies, etc.

Other Functions:

  • Comply with proper internal controls as necessary to conduct job functions and/or carry out responsibilities and/or administrative activities at Company
  • Participate in internal meetings as necessary
  • Perform special projects and other duties as assigned

Qualifications:

  • College degree preferred
  • At least 5-7 years of experience in similar function
  • Bilingual speaking and writing English/Japanese required
  • Strong organizational skills, with ability to handle multiple tasks simultaneously
  • Strong communication skills
  • Strong PC skills including powerpoint, excel, and word.
  • Superior analytical skills
  • Ability to maintain confidentiality
  • Strong attention to detail
  • Demonstrated ability to work with people of different levels in different departments
  • Demonstrated ability to work with people from different cultures and backgrounds
  • Ability to work independently and as part of a team

Salary range of $73k-100k. Ultimate salary offered will be based on factors such as applicant experience and geographic location. Our company offers a competitive benefits package and bonus eligibility on top of base.
