Duties and Responsibilities:

  1. *Advises current and prospective East Asian Languages & Literatures (EALL) undergraduate students on the university, college, and departmental curricular policies, and helps them develop and follow an academic plan to pursue major, minor, or certificate in Chinese, Japanese, or Korean.
  2. *Maintains academic record system and department internal academic form workflow system for all undergraduate students.
  3. *Assists with evaluating academic actions, graduation checks, and related matters.
  4. *Develops and conducts orientation, retention, and other academic services programs.
  5. *Keeps abreast of requirements for degrees and certificates in the department, college, and University.
  6. *Compiles research, analyses, and student data for trend identification, forecasting purposes, retention, and other studies and reports to the Chair and the Associate Chair.
  7. *Trains student assistants and provides academic advising resources for outreach, recruiting, and retention.
  8. *Serves as liaison between students and CALL Advising Center to articulate student and curriculum concerns.
  9. *Serves as the liaison between the Department and the University units such as Admissions and Records, Study Abroad Center, Manoa International Exchange, and other UH colleges/schools.
  10. *Assists in the development of and participates in internal and external outreach to increase exposure and understanding of East Asian languages/linguistics and literature/cultures.
  11. *Handles inquiries on policies, procedures, and departmental programs and activities to students, faculty, staff, and the general public.
  12. *Assists with the development of and implements policies and procedures for the department’s online language testing. Coordinates, schedules, and proctors language placement exams.
  13. *Plans, coordinates, and implements recruitment, career, and informational activities to promote EALL’s undergraduate programs. Represents the department at academic events, such as visits to local high schools, college/career fairs, Discover UH Manoa Open House, academic workshops, and events for the general public.
  14. *Keeps abreast of University, State, and Federal rules, regulations, practices, and policies which are applicable to student academic services, such as FERPA, Title IX, etc.
  15. *Reviews and updates content related to the department’s undergraduate program and placement exams on the department website.
  16. *Serve as backup to the graduate Student Services Specialist to assume responsibilities during periods of unavailability.
  17. *Coordinate with the graduate Student Services Specialist for overlapping areas, such as the Bachelor’s & Master’s Degree (BAM) program.
  18. Other duties as assigned.

Minimum Qualifications:

  1. Possession of a baccalaureate degree in Education, Arts & Sciences, Business Administration, or related field and 0 years of progressively responsible professional experience with responsibilities for teaching, student advising, and/or student services; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in the area of teaching, student advising, and/or student services demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with teaching, student advising, and/or student services.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of teaching, student advising, and/or student services.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer, apply word processing software.
  8. Strong organizational skills and demonstrated ability to perform multiple tasks and prioritize tasks to timely completion.
  9. Demonstrated ability to manage and organize data that facilitates tracking, analysis, and sharing.
  10. Working knowledge of database and spreadsheet software.
  11. Demonstrated ability to work with students with varied backgrounds.

Desirable Qualifications:

  1. Demonstrated ability to learn and integrate technology into office operations.
  2. Demonstrated ability to plan and organize events.
  3. Experience in teaching and/or student advising in a higher education institution.
  4. Familiarity with the University of Hawaii student and academic policies, procedures, and record systems such as On-base, STAR, and/or Banner, etc.
  5. Demonstrated excellent customer service skills.
  6. Familiarity with the Family Educational Rights and Privacy Act (FERPA) and Title IX.
