Job Title: Accounting Assistant

Location: Hillsboro. OR

Department: Accounting

Status: Non exempt

Schedule: Monday – Friday 8:00am to 5:00pm

SUMMARY:

Function: Provide accounting and clerical support to the accounting division.

Scope: Supports accounting division with day-to-day accounting duties.

ESSENTIAL JOB FUNCTIONS:

The essential functions of this position require prioritizing and completing all assigned tasks in a timely and efficient manner, adjusting for changing priorities and availability of resources, and demonstrating initiative in identifying additional job-related tasks to be completed when time permits. The amount of time performing each function may vary day-to-day. All duties shall be performed in an efficient and professional manner in accordance with the company policies and under the direct supervision of a designated supervisor.

1. Interpret, distill, and present complicated and/or technical information to employees, customers, and others in understandable and relatable terms to aid and enhance levels of understanding and implementation.

2. Use and operate a computer, office equipment and other technology devices frequently and consistently throughout each day with a high degree of skill, accuracy, and independent judgment for the purpose of reviewing, analyzing, creating, transmitting, and presenting documents, data, and other business-related information.

3. Performing clerical tasks such as filing, data entries and general ledger entries.

4. Accurately prepare and maintain accounting documents and records.

5. Maintain and make necessary adjustments to records and/or logs such as journals as directed by Manager.

6. Verify and reconcile bank statements and/or department records.

7. Collect customer payments, post receipts and follow up on overdue invoices.

8. Work with internal stakeholders to ensure timely compliance with monthly accounting calendar deadlines including budgeting.

9. Maintain accurate records of customer accounts including customer payment history, credit limits and outstanding balances.

10. Generate, send and manage invoices such as applying payments and resolving any discrepancies.

11. Address customer inquiries regarding invoices, payments and account adjustments.

12. Following the ISO 9000 and 14000 standards and creating documents necessary to comply with the standards.

13. Performance of other related duties related to the smooth operation as of the facility as required, including cleaning and general housekeeping.

14. Actively demonstrate high levels of employee engagement, coachability (e.g., receiving and incorporating business-related feedback and instruction with a positive and growth-oriented mindset) to achieve desired outcomes, and accountability for personal performance and its impact on others’ ability to do their job well.

15. Perform other necessary duties and tasks as requested.

Periodical

Attending annual and/or quarterly refresher courses related to hazardous waste management and handling, general safety, quality management, and environmental management.

SUPERVISION:

Receives:

Direct supervision is provided by the department manager. (Supervisor, Assistant Manager, etc.) Completed work is reviewed for accuracy, completeness and compliance with the established guidelines.

REQUIRED PERSONAL SKILLS:

1. Ability to effectively communicate in English (both oral and written).

2. Proficient in Microsoft Word and Excel.

3. Well organized and ability to perform filing and record keeping tasks.

4. Ability to handle multiple tasks to prioritize needs and expedite tasks upon request.

5. Ability to work in a team environment.

6. Maintain ISO document and record control.

7. Able to work extended hours as directed by supervisory staff.

8. Able to work various shifts as directed by supervisory staff.

9. Knowledge of Japanese culture and/or bilingual in Japanese is a plus.

This position primarily works in a temperature-controlled, sometimes high-pressure office environment. Our office spaces include traditional office lighting (including fluorescent lighting), traditional office furniture, shared office space and restrooms, and facilities that include consistent and frequent noise (often louder than ambient noise), conversations among employees and customers, interruptions, and other similar distractions. Performing work in a typical office environment may also include exposure to ordinary and typical odors, scents, perfumes, and other airborne odors associated with people congregating, working, and sharing space together. We cannot guarantee a 100% scent-free work environment.

OTHER:

Personnel must successfully complete a program of on-site classroom instruction or on-the-job training that teaches them to perform their duties in a way that ensures compliance with all job requirements. Prior experience and/or certification that can be verified will be considered in evaluating training requirements.

FURTHER JOB REQUIREMENTS:

Must possess a reliable means of transportation to and from work.

Requirements

Required Education/Experience:

Accounting certificate or A.A in accounting is required. 1 year of previous working experience in basic accounting procedures. Familiarity with bookkeeping is preferred. SAP knowledge is preferred.
