JOB SUMMARY:
Reporting directly to two executives in the Burbank office, the Executive Assistant provides administrative support and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the business units based out of Sega of America’s Burbank office. The Executive Assistant also acts as a liaison to the Board of Directors and senior management teams.
This position oversees special projects, research, and statistical report preparation, requiring independent judgment, discretion, and confidentiality. The role is characterized by a higher degree of autonomy, critical analysis, and the ability to represent executives in their absence. The Executive Assistant will perform a variety of administrative tasks including expense management, cross-team initiatives, correspondence drafting and analysis, visitor management, and meeting coordination.
DUTIES AND RESPONSIBILITIES:
- Manages and maintains executive schedules, including scheduling travel and conferences, making appointments, and arranging meetings and events.
- Prepares and submits expense reports for the executives.
- Welcomes guests and customers by greeting them in person or on the telephone, answering or directing inquiries.
- Conserves executive time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications.
- Prepares reports and presentations, collecting and analyzing information.
- Develops and manages paper and electronic filing systems, recording information, updating paperwork, and providing retrieval of information.
- Records meeting discussions and prepares minutes.
- Provides research and analysis support for correspondence, reports, and strategic planning.
- Works closely with other executives and administrative assistants at affiliate companies located overseas.
- Supports cross-team initiatives and collaboration within the Burbank office.
- Executes special projects by assigning work and providing direction to others as needed.
- Capable of critical analysis and hands-on problem solving with short notice, incorporating the knowledge of subject matter experts and multiple team members.
- Interacts with internal and external peers and/or managers to exchange complex information related to assigned activities.
- Receives work in the form of short-, mid-term assignments that often require use of independent judgment outside of established procedures.
- Handles highly confidential information with strict discretion.
- In-office attendance is an essential function of this position. This requirement of face-to-face interaction is in place to ensure effective supervision, collaboration, and teamwork. In-office attendance is required for the following reasons:

Qualifications
QUALIFICATIONS AND SKILLS:
- Bachelor’s degree in business administration or related field
- 5+ years of experience in mid- to senior-level administrative support role
- Strong research and problem-solving skills
- Advanced MS Office experience
- Proficient in MS Word, Excel, Outlook, and PowerPoint.
- Full knowledge of office management systems and procedures
- Basic bookkeeping and math skills
- Proficiency in English and Japanese languages
- Meticulous attention to detail
- Exemplary planning and time management skills
- Ability to stay calm and on-task in high-stress situations
- Ability to multitask and prioritize daily workload
- High-level verbal and written communications skills
