Established in 1926, Mutual Trading Co., Inc. was originally a small co-op organization for centralized purchasing of basic import foods to service the needs of the early Japanese immigrant society in Southern California. We’ve grown nearly 100 years old now, and command a premiere position among Japanese foodservice suppliers, as well as fill a key role as “Culinary Ambassador” promoting Japanese foods worldwide. Currently, we import, manufacture, and distribute over 8,000 Japanese foods, beverages, restaurant equipment and supplies.

Hours: M-F: 8AM – 5PM, 1hour lunch. OT may apply.

Essential Job Functions
• Greet and direct visitors at the front desk.
• Attend to will call customers by answering questions, collecting payment, and generating receipts.
• Answer, screen, and forward incoming calls to appropriate persons.
• Operate office machines such as copiers, scanners, PCs, phones, and voice mail system to perform clerical duties.
• Update and maintain business insurance, contracts, registration, and general business license.
• Order office supplies as requested by department managers.
• Assist with filing records, typing reports/forms, and preparing memos or letters for management.
• Support other departments such as Sales, Purchasing, Accounting and Warehouse as needed. Responsibilities include, but not limited to:

– Input, update, and maintain orders, invoices, and bill-back data within the Company database, update and maintain customer records in the Company database.

– Set up stock numbers.

– Research the company’s products to gain in-depth knowledge.

– Ensure adequate volume of products and create purchase orders based on sales volume and

inventory.

– Calculate costs and product pricing to determine profit margin.

– Process receipts and invoices in timely manner for payment.

– Assist with customer orders, inquiries, and returns.
• Manage calendars and appointment scheduling.
• Prepare and maintain accounting documents and records accurately.
• Perform basic bookkeeping, accounts receivable (A/R), accounts payable (A/P), and daily journal entries for accounting purposes.
• Review billing statements, invoices, credit memos, price adjustments, orders and similar documents for accuracy; alerts management of any discrepancies.
• Attend Company events and functions outside of normal working hours.
• Other duties as required from managers.
• Obligation to answer to all management as requested.

Physical Requirements
• Able to sit and work for extended periods of time.
• Ability to type and use the computer for extended periods of time.
• Ability to talk, hear, stand, sit, walk, reach, bend, kneel, and lift and/or move up to 20 pounds.
• Working Conditions

Other Requirements
• Business level English required – read/write/speak/listen.
• Basic level Japanese preferred – read/write/speak/listen.
• 1-3 years of experience in office administration preferred.
• Maintain a positive attitude.
• Ability to work independently and efficiently as a team.
• Ability to adapt to frequent changes in assignments and workload.
• High school diploma required. Bachelor’s Degree in Administration or other related field preferred.

Knowledge and Skills
• Process Intermediate mathematical knowledge – profit margin calculations, markups, discounts, combining/converting measurements, counting inventory, currency, etc.
• Basic Microsoft Office proficiency (Word, Outlook, Excel, PPT, etc.).
• Knowledge of Microsoft Business Central, SAP or other ERP systems.
• Strong communication, interpersonal and problem-solving skills.
• Exceptional organization and time management skills.
• Excellent customer service skills.
• Knowledge of Japanese foods and sakes preferred.
