    Site Office Administrator

    Summary

    The Site Administrator reports directly to the Site Manager and will be responsible for the day-to-day administration of project business, including document control.

    Responsibilities

    • Assists the Site Manager, Assistant Site Manager and Technical Supervisor in resolving administrative issues, as well as document control and general site office support.
    • Managing office consumables including arranging unscheduled transportation to and from site.
    • Arranging off site travel and accommodation plans as required.
    • Print off drawings for site distribution if sent electronically. File electronic and hardcopy documentation.
    • Expedite subcontractor’s submittal of documents in accordance with schedule.
    • Liaise with the Owner and Government officials as it pertains to the project.
    • Responsibility for project filling system, including compliance with any contract requirements.
    • Prepare and issue monthly cost reports for site expenses.

    Skills and Qualifications

    We’re looking for a team player, who is motivated by delivering great work and the Hitachi vision. The role will be onsite in Madison, Wisconsin.

    The ideal candidate will possess the following skills and background:

    • Must have 3-5 years of experience as a Site Administrator or general administrator
    • Ability to communicate in Japanese is required
    • Experience as administration staff in medical construction is preferable
    • Bachelor’s Degree preferred but not required
    • Experience in the construction industry is preferable
    • Excellent knowledge of the Microsoft Office Suite: Excel, Word, PowerPoint, Outlook
    • Experience with Microsoft Projects (preferable)
    • Ability to perform other duties as assigned or directed
