We are looking for a Payroll Assistant. This is a 3-month contract opportunity based out of Irvine, CA (Hybrid).
This position is responsible for supporting the Head of Payroll in the day-to-day administration of the payroll section within the Human Resources Department. The duties include maintaining human resource-related records, ensuring Company policies and regulations are administered, and administration/coordination of human resources-related programs.
Qualifications:
- Above average ability to use a personal computer for word processing, data entry, and automated time systems.
- Attention to detail and accuracy regarding time and organizational management.
- Requires multi-tasking and extensive customer service skills, and the ability to handle stress in a fast-paced working environment.
- Ability to foster and maintain positive working relationships with all levels of management and store personnel.
- Ability to apply basic skills relative to office administration.
- Must possess personal qualities related to respect for the rights and confidentiality of others.
Education/Experience:
- Requires the knowledge, skill, and mental development equivalent to the completion of high school.
- Requires knowledge of word processing and spreadsheet applications.
- Requires two – four years of clerical or administrative experience.
- Requires the ability to effectively communicate both orally and in writing.
- Requires knowledge of spelling, grammar, punctuation, sentence/paragraph structure, and formatting.
Responsibilities:
- Maintains company organizational charts and the employee directory.
- Correspond requests from client in a timely manner.
- Sends out a weekly schedule and keeps track of daily reports of all applicable personnel within the organization.
- Maintains, updates, and distributes the employee phone list.
- Completes all filings in a timely manner.
- Maintains employee personnel files including hard copies and soft copies in HRIS.
- Supports semi-monthly payroll processing.
- Supports benefit administration.
- Supports recruitment when needed.
- Assists with recruitment tasks as needed (reviews applications, interviews).
- Prepares new hire packets and termination packets as needed.
- Supports safety coordination.
- Ensure accurate data entries in HRIS.
- Assists Payroll process.
- Assists employees in HR matters.
- Administers new hire and termination packets for all employees.
- Prepares and updates HR staff and employee performance evaluations.
- Verifies I-9 documentation and maintains books’ current.
- Tracks and audits employee PSL/PTO requests – communicates discrepancies to the HR Manager.
- Updates HR spreadsheets with employee change requests and processes paperwork.
- Enters and audits employee information on the HRIS system.
- Conducts reference, credit, and/or background checks.
- Schedules meetings and interviews as requested by HR Manager.
- Stays current with current state and federal employment laws.
- Ensures Store Managers receive timely notices of HR postings and HR correspondence.
- Ensures Company’s safety compliance with all states’ regulations and OSHA requirements.
- Files and mails out the documentation of the legal activities that relate to Human Resources.
- Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; periodically audits Forms I-9.
- Other duties are assigned by a supervisor and a manager in the HR Department.
Language Ability:
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Bilingual in Spanish or Japanese is preferred but not required.
Pay Range for CA, CO, IL, NJ, NY, WA, and DC: $24/hour to $26/hour. Starting rate of pay offered may vary depending on factors including but not limited to, position offered, location, education, training and/or experience.
